UK Projects Team

The UK Projects team deal with install-led and specialist projects that focus on our offering of products and solutions in a variety of exciting and fast-moving sectors in the event’s world.

In recent months, the team has worked on projects that include Brighton College, Aviva Studios (Factory International), Selfridges, Cadbury’s World, Liverpool Empire, Oxford, Co-Op Arena and many more, in multiple sectors, including education, festivals and arenas.

Based full-time at our Sowerby Bridge office, the Project Administrator’s role is pivotal to the continued success of our UK Projects team. Responsible for the day-to-day administration and support of the wider projects team in successfully winning and delivering projects.

Key Accountabilities & Responsibilities

  • Monitor incoming enquiries to ensure all are allocated and actioned by the relevant Estimators in a timely manner.
  • Contact potential customers by phone and email for additional information on their requirements.
  • Follow up with Project Managers to ensure that enquiries have been actioned in terms of site visits and quotes being sent to the customer.
  • Collaborate with the Estimator team to keep the CRM system up to date with quotes and follow up information.
  • Keep up to date with new products and services within the business for future development of the company’s
  • Collaborate with marketing to ensure that the project related website pages and literature is up to date and provide them with relevant information for marketing purposes.
  • Monitor the department’s training certificates, for both employees and subcontractors and advise when any relevant certificates need updating.
  • Liaise with line managers of other departments for internal training opportunities and best practices.
  • Ensure all sub-contractors have the correct insurances and certificates to work.
  • Support the Project Director in recording the department’s 1:2:1’s, objectives and actions and ensure that these are progressed and updated.
  • Support the Project Managers where required, in the procurement of materials, tools, travel, and accommodation.
  • Organise site fitter’s schedule, in line with Project Manager requirements.
  • Ensure that the correct paperwork for projects is being produced and the company ERP system is being used correctly.
  • Contact customers for feedback on completed projects and share feedback with the wider business.
  • Take notes at key departmental meeting Ensure that actions are logged, followed up and circulate as appropriate.
  • Assist in collating regular reports for the Project’s Director, both weekly and monthly.
  • Improve archiving systems for past projects.
  • Support diary management for the Project’s Director, where applicable.
  • Learn internal software and processes to adhere to the current internal policies and procedures and help develop internal guidelines to ensure compliance.
  • Provide month by month data on successfully delivered
  • Carry out any other ad-hoc duties as requested by your manager.

Skills & Experience

  • At least 5 years’ experience in a similar role
  • Experience in a B2B commercial environment ideally carrying out services / installations on sites.
  • Exceptional communication and organisational skills.
  • Comfortable working under pressure.
  • Proficient in all Windows based (office) systems.
  • Experience of in-house ERP and/or CRM system.
  • Ability to work autonomously and manage own workload.
  • Attention to detail.
  • Strong work ethic.
  • Assertiveness but able to demonstrate patience and the ability to see tasks through to the end.

Hours

  • The role is Monday to Friday, min 30 hours a week, max 36.25 hours (salary pro-rated to hours). Potential for hours to be flexible to suit school hours.

Qualifications

  • Higher education qualifications desirable.
